Built for improv

The only tool purpose-built for the way improv theaters actually run.

Balancing who's available against who should get the slot. Matching the right performer to the right role. Keeping it fair across a rotating cast of dozens. General-purpose schedulers don't think about any of that.

And because managing improvisers is a little like herding cats, SchedgeHog meets them where they are — on their phones, with magic links instead of passwords, and a tap-to-answer availability flow that takes thirty seconds.

Rapid lineup building

Cast a show in minutes. Cast a month before dinner.

Pick a date, see the roles and available players, drag a name into the slot. Each player's recent assignments and any time conflicts show right there in the card.

  • Structured but flexible. You can add new roles, change names, or even add a guest player to a show.
  • A players-by-dates matrix gives you the month-at-a-glance view — see who hosted last week or hasn't been cast all month.
  • Every change saves instantly. No losing work..
Magic Schedule

Add a month of shows with one click.

It's like magic. Just describe your schedule in plain English — "every Tuesday at 8pm starting next week" — and the dates and times land in a preview. You approve and publish.

  • Your schedule is predictable until it's not - we handle both cases gracefully.
  • Stop fiddling with complicated repeating events. Just describe your schedule in plain English.
  • Preview every date before anything saves. Nothing hits the calendar until you confirm.

Seamless subs

Subs are inevitable. We make them easy.

A player sends out a sub request with one click — or you do. Others volunteer with one tap, you approve with one click.

  • Smart notifications only go to people who've opted in.
  • Add private or public notes with sub requests and approvals. No need to send separate emails.
  • Active sub requests show up right on the dashboard. Impossible to miss.
Your ensemble will actually respond

Lovingly crafted to make your performers happy and your job easier.

Magic links instead of passwords. Availability in thirty seconds from a phone. A lineup view that tells players what they're doing this week without scrolling through eighteen shows. And much, much more.

“The first month I used it, I got three evenings back. I didn't realize how much of my week was spent chasing availability answers.”
— Artistic Director, improv theater using SchedgeHog in beta
And all the other things a theater needs

Everything else, thoughtfully built in.

Targeted messaging

Send lineups or general announcements to specific ensembles, specific show dates, or hand-picked individuals. Verify the recipients before you hit send.

Automated notifications and reminders

Show reminders morning-of, day-before, or two days out. Weekly lineup preview. Sign-up reminders. Every player gets to pick which notifications they want to receive.

Magic import

Drop a messy spreadsheet or a photo of a sign-up sheet. We figure out names and emails, then shows you a preview before anything saves.

Permissions & ensembles

Different levels of access for different roles. Hand off casting for shows directed by others.

Past lineups & fairness

Look back at who played what, when. Casting with context built in, not a separate report.

Mobile-first

Everything works beautifully on a phone.

FAQ

Frequently asked

Is this only for improv?
Built for improv, but it works for any group with a rotating group of volunteers — variety, cabaret, drag. If your lineup changes week to week, you're in the right place.
How do performers sign up?
You add them (one-by-one, or with Magic Import), and they get a magic-link email. No passwords, no account setup — they tap the link and they're in. Most performers are signed in within 30 seconds of their first email.
Does it work on mobile?
Everything is built mobile-first — availability, sub requests, lineup view, notifications. The manager scheduling interface also works on mobile, though most managers prefer a laptop for heavy casting sessions to see our amazing scheduling matrix in action.
How long does setup take?
A small theater can be up and running in minutes — one Magic Import of performers, add your shows, one click to genearate your schedule. Really! Larger theaters with multiple ensembles and a longer show schedule might take a half hour. We will do initial setup for you.
Can I import my existing roster?
Yes — drop in anything — a CSV export, a screenshot from another app, a handwritten list. The Magic Import reads messy data, figures out names and emails, and shows you a preview before anything saves. No cleanup required up-front and no duplicate players.
